These Terms of Service ("Terms") govern your use of Konference. By creating an account or using the platform, you agree to these Terms. If you do not agree, please do not use the service.
1. The service
Konference provides a web-based platform to manage academic conferences — paper submissions, peer review, payments, participant communication, and related exports. The service is delivered under the Full Package or Custom Package, as agreed with the client organizer.
2. Accounts
- You must provide accurate and up-to-date information
- You are responsible for safeguarding your login credentials
- You are responsible for activity performed under your account
- Notify us immediately if you suspect unauthorized access
- Users must be at least 18, or have guardian consent for student submissions
3. Acceptable use
You agree not to:
- Upload illegal, infringing, defamatory, or harmful content
- Submit plagiarized papers or misrepresent authorship
- Attempt to circumvent security, access other users' data, or probe vulnerabilities without authorization
- Use the platform to send spam, phishing, or harassment
- Interfere with the normal operation of the service (e.g., DoS, scraping at scale)
- Resell, sublicense, or commercially exploit the platform without a written agreement
We may suspend or terminate accounts that violate these rules.
4. Payment terms
- Service fees — agreed at signup per the selected package (Full or Custom). Invoices are issued per the service order
- Author registration fees — set by the conference organizer, not by Konference. We process payments on the organizer's behalf
- Refunds (service fees) — prorated refund is available before conference setup is complete. Once the conference is live, service fees are non-refundable
- Refunds (author registration) — governed by the organizer's own refund policy
- Late payment — unpaid invoices beyond 30 days may result in service suspension
- All fees are exclusive of applicable taxes (e.g., PPN) unless stated otherwise
5. Intellectual property
5.1 Your content
You retain full ownership of papers, abstracts, artwork, and other content you upload ("User Content"). By uploading, you grant Konference a non-exclusive, worldwide, royalty-free license to host, store, transmit, and display your content solely to deliver the service and related functions (e.g., sending for review, generating LOAs, exporting proceedings).
5.2 Our platform
The Konference platform, including its code, design, brand, and documentation, is our intellectual property. You are granted a limited, non-transferable license to use the platform for its intended purpose. You may not copy, modify, reverse-engineer, or resell the service.
6. Privacy
Our handling of personal data is described in our Privacy Policy, which forms part of these Terms.
7. Availability and warranty disclaimer
We aim for high availability but do not guarantee 100% uptime. Planned maintenance will be communicated in advance when possible.
The service is provided "as is" and "as available". To the maximum extent permitted by law, we disclaim all warranties — express or implied — including merchantability, fitness for a particular purpose, and non-infringement.
8. Limitation of liability
To the maximum extent permitted by Indonesian law, Konference's total aggregate liability arising from or related to the service is limited to the fees paid by you (or your organizer) in the 12 months preceding the event giving rise to the claim.
We are not liable for indirect, incidental, special, consequential, or punitive damages — including lost profits, data loss, or reputational harm — even if advised of the possibility.
9. Indemnification
You agree to indemnify and hold Konference harmless from any third-party claim, damage, or expense arising from:
- Your violation of these Terms
- Your User Content (including copyright or plagiarism claims)
- Your misuse of the service
10. Termination
- You may cancel your account at any time, subject to payment obligations for the current billing term
- We may suspend or terminate accounts for material breach, non-payment, or legal requirement
- Upon termination, your access ends immediately. We retain data per our Privacy Policy retention schedule
11. Governing law and disputes
These Terms are governed by the laws of the Republic of Indonesia. Any dispute arising from or related to these Terms shall first be attempted to be resolved through good-faith negotiation. If unresolved within 30 days, the dispute shall be settled through the courts of Bandung, West Java, unless otherwise agreed in writing.
12. Changes to these Terms
We may update these Terms. Material changes will be announced via email or platform notice at least 14 days before taking effect. Continued use after the effective date constitutes acceptance of the updated Terms.
